PRODUCTIVITY

Nico Roepnack · March 2026 · 4 min read + interactive tool

60 hours of work per week, but only 15 hours of real productivity? Most managers don't plan their week; they just react to whatever comes up next. Change that with our free weekly planner template: plan your time in blocks, visualize your week, and download your plan as a PDF.

The problem

Why a weekly planner template
makes all the difference

Studies show that people who plan their week in advance are up to 25% more productive than colleagues without a weekly structure. The time-blocking method, made famous by Cal Newport ("Deep Work"), divides the day into fixed blocks for different types of tasks.

Time Blocking: How It Works
The Weekly Schedule Method

Time blocking means assigning each time block of your week to a specific type of task before the week begins. Instead of reacting to emails and requests, you work proactively according to plan.

Step 01

Categorize tasks

Divide all your tasks into 7 categories: Deep Work, Meetings, Communication, Training, Creative Time, Admin, and Breaks. Each task belongs to exactly one category.

Step 02

Assign blocks

Schedule deep work for the morning (peak cognitive performance), bundle meetings into 2-3 days, communicate during fixed windows, and take breaks every 90 minutes.

Step 03

Consistently adhere to

Treat your time blocks like appointments with yourself. If someone wants to schedule a meeting during your deep work time, say no. Structure protects your productivity.

Frequently asked questions

FAQ: Weekly Schedule Template
, and Time Blocking

What is a weekly schedule template?

A weekly schedule template is a structured grid in which you plan your working week in advance. Unlike a simple to-do list, you assign a specific type of task to each time block. This prevents multitasking and protects your most productive hours from interruptions.

How much deep work should I schedule per week?

Cal Newport (author of "Deep Work") recommends 4 hours of deep work per day for knowledge workers. That corresponds to about 40-50% of your working week. Our template shows you in the statistics whether you are achieving this goal.

Can I save the weekly schedule as a PDF?

Yes. Click on "Download PDF" to save your current weekly schedule as a PDF using your browser's print function. The controls will be hidden automatically so that only the schedule and your statistics are displayed.

Will my weekly schedule be saved?

Yes, your plan is automatically saved in your browser's local storage (localStorage). When you visit the page again, your plan will still be there. The data never leaves your browser and is not transferred to us.

Who is time blocking particularly suitable for?

Time blocking is particularly effective for executives, project managers, and knowledge workers who regularly have to switch between different types of tasks. The more fragmented your working day is, the greater the productivity gains from structured planning.

"If you don't plan your week, you plan your failure. Time blocking is the easiest way to get the most out of 40 hours of work."

Cal Newport, author of "Deep Work"
